We're looking for people who are meticulous, reliable, and comfortable working with.

We are seeking an Appointments Coordinator to support our trucking, warehouse, and logistics operations. This role is responsible for accurate scheduling of pickup and delivery appointments, ensuring freight is fully prepared for load planning and execution.

You’ll play a critical role in keeping freight moving on time by coordinating with customers, warehouses, and internal operations teams.

What You’ll Do

Appointment Scheduling

  • Schedule pickup and delivery appointments with shippers, consignees, and distribution centers
  • Manage dock appointments using customer portals and warehouse systems
  • Track appointment cut-offs and service requirements
  • Update appointment details in the TMS and communicate changes to operations
  • Reschedule appointments as needed due to delays or operational changes

Coordination & Support

  • Communicate shipment constraints and appointment details to Load Planners, Dispatch, and Warehouse teams
  • Flag high risk or time-sensitive loads
  • Support customer service and operations during service issues or peak volume periods

What We’re Looking For

  • Strong attention to detail and data accuracy
  • Ability to manage multiple tasks in a fast-paced environment
  • Clear written and verbal communication skills
  • Comfortable working with deadlines and time-sensitive freight
  • Experience with TMS/WMS systems preferred
  • Proficiency in Microsoft Office (Excel, Outlook)

Preferred Experience

  • 1–3 years in transportation, logistics, warehousing, or supply chain operations
  • Familiarity with dock scheduling, appointment-based DCs, or trucking operations
  • Understanding of equipment types and transit times.

We’re looking for a customer-driven Load Planner who enjoys working with people, solving problems in real time, and keeping freight moving efficiently. This role requires professionalism, urgency, and the ability to communicate confidently with customers and internal teams in a fast-paced environment.

  • Are comfortable being a primary point of contact for customers

  • Have experience in trucking, freight brokerage, or transportation logistics

This is NOT an e-commerce, warehouse, or fulfillment role. This role supports trucking and freight transportation operations. Applicants whose experience is limited to e-commerce logistics or warehouse operations may not be considered.

Key Responsibilities

  • Communicate professionally with customers via phone and email
  • Plan, coordinate, and manage freight movement
  • Maintain accurate load and order details
  • Proactively resolve issues and keep customers informed
  • Collaborate with internal sales and operations teams
  • Use Excel / Google Sheets and internal systems daily

Required Qualifications

  • Associate’s degree or higher (or equivalent professional experience)
  • Proven customer service, sales, or account-facing experience
  • Strong written and verbal communication skills
  • Proficiency with Excel, Google Sheets, email, and Microsoft Office
  • Ability to work in a fast-paced, deadline-driven environment

Preferred Qualifications

  • Experience in trucking, freight brokerage, dispatch, or load planning
  • Customer-facing logistics or transportation experience
  • Experience working with shippers, carriers, or internal sales teams

JOB DUTIES:

– Manage Pickup/Delivery and Location Check Calls
– Problem solve issues that happen on the road such as mechanical break down, accidents, rejections, held at previous warehouse and discrepancies at delivery.
– Monitor temperature devices on each load
– Request and Review PODs, report any overages/shortages or damages
– Send daily updates to all customers with the status of delivery – update different systems customers use.

– Traffic Control: Coordinate and organize the warehouse schedule as well as verify VINS of trucks and trailers that come to our facility.

-Driver Check in: Check in all carriers at our warehouse using Envoy. Ensuring carriers have correct BOLs for each load

-Paperwork collecting, scanning, reviewing, reporting any discrepancies on BOL.

– Other duties as needed

EXPERIENCE:


– Previous experience in data entry or a similar role preferred

– Previous experience in Logistics/Transportation/Trucking preferred
– Strong organizational skills with attention to detail
– Proficient in Microsoft Excel and GOOGLE SHEETS
– Familiarity with order entry processes and procedures
– Ability to perform clerical tasks such as filing, scanning, and transcribing

Our Rate Confirmation team plays a critical role in ensuring freight moves smoothly by preparing contracts, verifying carrier compliance, and supporting operations with precise documentation.

This role is ideal for someone who is highly organized, detail-oriented, and comfortable working with contracts, data, and multiple priorities in a fast-paced environment.

This is not an e-commerce or warehouse role. This position supports trucking and freight transportation operations and involves contract drafting and compliance verification.

  • Maintain organized, compliant documentation for all shipments
  • Follow company procedures and quality standards

Required Qualifications
